Position: Time and Attendance Officer

Key Responsibilities:

•   Compile daily, weekly and monthly time and attendance (T&D) statistics for all departments;
•   Generate attendance reports as and when required for decision making;
•   Provide T & A data to heads of departments upon request ;
•   Ensure all T & A documents are properly scrutinized, timely processed and report irregularities to Administration and Security;
•   Assist in verification of specimen signatures and correct document completion to prevent fraudulent practices on input documents submitted from line managers;
•   Supervise inputting of shift rosters into access control system to ensure that only employees required to work on the shifts are allowed access to and from their work areas;
•   Suggest ways to improve the utilization of the T & A and Biometric systems;
•   Reconcile attendance data with time sheets to ensure that employees are paid correct monthly overtime;
•   Generate and interpret attendance statistics and create regular data reports;
•   Manage the attendance system and notify Heads of departments of any absence issues;
•   Provide regular updates on workers attendance with targets and suggest strategies for improvement;
•   Record and monitor late arrivals and early departures and report appropriately to improve attendance rates;
•   Verify attendance, hours worked, and post information onto designated records;
•   Conduct monthly audit of attendance data with paid overtime and report any irregularities;
•   Assist with the smooth workflow of employees to and from their work areas by ensuring the effective functioning of the access control system;
•   Liaise with the IT and Security departments to ensure that all biometric clocks are functioning properly;
•   Perform any other related duties that may be assigned from time to time by supervisor.

Qualification Required & Experience

•   Bsc. Computer Science, Degree in statistics or related area of study from a recognized tertiary institution
•   Certificate in computer applications
•   Minimum of three (3) years hands-on experience in similar position preferably in the mining industry
•   Demonstrate a thorough understanding of employee shift and attendance
•   Excellent understanding of computer applications
•   Ability to develop programs to support the business
•   Excellent data analysis skills
•   Excellent reporting skills
•   Good decision making and problem solving skills
•   Proven ability to analyse issues critically
•   Excellent verbal and written English communication skills
•   Strong computer skills including Microsoft Word, Excel, Power Point, database management
•   Strong organizational and interpersonal skills
•   Valid Ghanaian Driver’s license.
