Purpose of Role
To manage the operations of the Warehouse by receiving, storing and issuing inventory whiles maintaining high facility integrity, follow required HSE Site policy and adhering to standards, laid down operational procedures, managing and guiding subordinates to ensure higher service levels.

Key Areas of Responsibilities & Duties

Order And Receive Materials

•   Supervise the day-to-day activities at the Warehouse; Receipt, Storage and Issue operations
•   Ensure that the warehouse is maintained in a clean, secure, safe and tidy state (good housekeeping)
•   Investigate and report on Transit Loss & Damage Reports, Inventory and Storage Location discrepancies
•   Check that materials delivered match descriptions & that the quantities are correct and materials are not obviously damaged
•   Maintain perpetual Stock-check register. Prepare periodic stock-checks and investigate discrepancies. Prepare Stock Adjustment Vouchers. In conjunction with Accounts/Auditors, conduct bi-annual 100% Stock-take
•   Maintain Register of Dangerous Goods on site. Ensure all Dangerous Goods are handled, stored and transported in accordance with appropriate regulations. Report on breaches of Storage Regulations
•   Ensure that material is receipted/issued correctly by checking the transactions against the System report daily
•   Prepare warehouse reports on weekly/monthly basis
•   Accept, store and dispose of scrap and other discarded material in accordance with Company regulations
•   Training of Store-men / Clerks
•   Determines the consumption of items in remote stores under his responsibility and arrange replenishment

Safeguard And Issue Material

•   Ensure that materials are sent to the correct (allocated) point of issue e.g. in store suspense bay, department (GRs) or consignment stock holding point.
•   Ensures, by spot checks, that issuing is done correctly i.e. requisition details match issue.
•   Ensures that all materials are safely and neatly stored in allocations.
•   Optimises storage area by grouping items to avoid double handling, storing for FIFO etc.
•   Counts stock either on an ad hoc or a pre-determined basis in accordance with logistics procedures.
•   Determines discrepancies between Count and System records.

Customer Care, GRs, Local Purchase, Repair Orders & Administration

•   Ensures that all distribution and internal waybills i.r.o. GRs, Repair and Purchase Orders are filed correctly
•   Inputs credits to computer when necessary for any order e.g. when items are returned to supplier etc.
•   Supervises work of subordinates (if applicable) by allocating tasks, coaching and leading.

Administration And General Responsibilities

•   Skills development and training
•   Ongoing training program for store personnel in place
•   Operators trained in safety and correct equipment usage
•   Servicing other departments
•   Communications maintained with Purchasing and end users Departments
•   Managing Team & Staffs
•   Team and individual performance monitored and required actions implemented
•   Housekeeping standards are maintained
•   Staff rosters and manning levels maintained at required levels
•   Leave roster in place and followed
•   Contributing to improvement
•   Obsolete and surplus items for disposal are reported
•   Improvement to systems and procedures recommended to Materials Manager
•   Store safety and information meetings conducted
•   Computer input accuracy monitored and actions taken to correct discrepancies
•   Liaise with Procurement Team about orders to maintain inventory levels (as per procedures)
•   Recommendations to surplus and disposal of obsolete stock
•   Cancellation of requisitions
•   Expediting of specific requisitions
    
Health And Safety

•   Ensure that the safety and welfare of employees is a top priority at all times in the work site
•   Report promptly to their immediate supervisor any situation which the employee believes presents a risk to the health and safety of other colleagues
•   Co-operate with any person to permit compliance with the duties and responsibilities placed on that person in terms of the mine Health and Safety Act; and
•   Comply with prescribed health and safety measures
•   Participate in the continuous risk assessment programme, and have an understanding of the health and safety system and requirements

Qualification Required & Experience

•   Degree in Supply Chain Management / Mechanical / Electrical Engineering
•   Diploma in Procurement & Stores Management, HND Mech / Elect / Logistics
•   A professional certification in Supply Management
•   5-8 years working experience in a related Industry.
•   Knowledge in JDE, SAP. MIMS or any ERP System is an advantage
•   Sound knowledge on Materials Management Systems
•   Solid safety performance at the personal and professional level
•   Current and valid driver’s license
