Duties & Responsibilities

Position Summary:
The Administrative and Finance Officer coordinates activities, staff and contractor/partner schedules and administrative and financial needs within the project setting on a day to day basis for general smooth, efficient and effective project operations.

Duties:

•  Assist the Chief of Party and office accounting office staff to accumulate and classify program financial documents
•  Assist in preparation of program financial reports
•  Provide administrative assistance to all project staff, as well as project partners as needed
•  Receive, sort, classify and archive program financial and administrative documentation and presents these in orderly fashion for the IFDC Ghana office, as well as preparation of this information for donor or auditor review purposes.
•  Provide administrative support services relating to travel, meetings, presentations, trainings and other events to the Chief of Party and other project technical staff.
•  Assists in the preparation of reports, presentations, memorandums, subgrants and other correspondence.
•  Serves as the go-to person for general project operational inquiries.
•  Performs any other duties, appropriate to the role, as may be required from time to time.

Supervision: The Administrative and Finance Officer will be working in a national position under the supervision of the Chief of Party (WAFP)

Qualification Required & Experience

Qualifications:

•  Education: minimum of an Associates Degree, higher degree preferred;
•  Minimum of 3 years or more related experience (preferably with an international organization) with emphasis on business administration, finance and general office management skills, preferably on a USAID funded project
•  Must have a record of successful experience as an administrative or financial assistant for project management.
•  Excellent oral and written communication skills;
•  Detail oriented and works with a high degree of accuracy;
•  Highly organized and flexible, and showing initiative;
•  Ability to multitask and meet changing deadlines;
•  Must be self-directed and able to complete tasks with limited supervision;
•  Working knowledge of web-based searches (Internet) and email (Outlook), scheduling (Outlook calendar), word processing (Word), spreadsheets (Excel) and presentation software (PowerPoint);
•  Ability to facilitate and support the work of team members.

The Controller position is accountable for the accounting operations of the company, to include the production of financial reports, maintenance of an adequate system of accounting records, and a comprehensive set of controls and budgets designed to mitigate risk, enhance the accuracy of the company’s reported financial results, and ensure that reported results are carried out efficiently, effectively and in line with best practices and comply with general accepted accounting principles or international financial reporting standards.

Essential Duties and Responsibilities:

•  Assist in the development and implementation of goals, policies, priorities and procedures to financial management, budget and accounting
•  Hire, train and develop staff based on needs of the department. Responsible for the overall direction, coordination and evaluation of the finance and accounting staff.
•  Planning, assigning and directing work, appriasing performance, staff development rewarding and disciplining employees and problem resolution
•  Supervises and participates in preparation of critical financial statements and reports. Reviews financial statements with CEO
•  Reviews and directs the processing of all accounting functions
•  Reviews and reconciles all general ledger entries
•  Directs and participates in cost analyses & rate studies. Prepare statements and reports of estimated future costs and revenue. Explores opportunities to reduce net operating expenses
•  Prepares cash balances report for partners and explores cash management opportunities
•  Directs internal audits involving review of accounting and administrative controls. Establishes system controls for new financial systems and develops procedures to improve existing systems. Coordinates preparation of external audit materials and external financial reporting
•  Lead and participate in all financial operations of the company including reporting, forecasting, invoicing and cash management, accounts payble/receivable and payroll
•  Lead and participate in the monthly accounting close ensuring timeliness, accuracy, completeness and compliance with corporate policy. Consolidation of the monthly results
•  Tax compliane including income tax and corporation tax, etc.
Preparation of forecasts of future performace of the business
•  Preparation of annual budgets
•  Support the implementation of new processes and controls and the implementation of new systems
•  Interacts with third parties in matters partaining to accounting issues
•  Assist the consulting Chartered Accounting firm in the preparating of all year end data and journal entries required for tax purposes
•  Involvement in various accounting projects as directed by executive management

Qualification Required & Experience

•  Master degree in finance with a minimum of 10 years of experience including at least 5 years in the durable oil & gas industry or in logistics.
•  Must have strong cost-accounting expertise

Computer Skills

•  Demonstrates proficiency in all MS Office applications including Word, Excel & Power Point, Tally and in internet software.
•  Knowledge of Job Scope in a plus

Duties, Roles and Responsibilities:

•  Responsible for keeping complete and up-to-date records of WANEP-Ghana’s financial transactions, ensure compliance with donor partners and WANEP-Ghana’s financial regulations, in addition to all budgeting and cash flow planning
•  Responsible for all the books of accounts of the organization
•  Act as the financial adviser to WANEP-Ghana’s Secretariat
•  Control and monitor expenditure vis-à-vis approved budgets
•  Facilitate external auditing exercise, carry out routine audits and support supervisions to ensure WANEP-Ghana’s compliance to Financial Management Procedures
•  Prepare and pay staff salaries
•  Ensure all statutory deductions are made and paid to the appropriate government agencies.
•  Support project design with financial information
•  Supervise the collection and banking of WANEP-Ghana funds
•  Check and allocate expenditure codes
•  Prepare monthly, quarterly, half yearly and yearly financial reports and statements for the National Secretariat and to appropriate donor partners/

Qualification Required & Experience

•  Degree in B. Com or BSc in Administration (Finance option) + 2 years or more experience in similar position or
•  HND (Accountancy)+ 4 years or more experience in similar position
