Job Vacancy For Stores Coordinator

Length of contract:  Two (2) year contract

The Stores Coordinator (CS) will ensure that the day-to-day operations of the store’s function is carried out in a safe, efficient and cost effective manner. She/he will be responsible for things such as managing inventory, receiving, storage and disbursement of commodities, ordering necessary stock and related reporting.
The Stores Coordinator will report directly to the Finance Manager. She/he will be based in Accra and expected to travel to other regions in Ghana when needed.

Responsibilities include:

•   Maintain inventory of all commodities/items to ensure that at all times there is sufficient stock of items on hand
•   Train non-stores Staff in warehouse and inventory management and collaborate with the Procurement Unit to ensure inventory items are procured and stored in the most effective, efficient and economical way and also ensure that commodities are
•   kept at the right temperature to avoid wastage and damages.
•   Coordinate the submission of accurate and timely end-of-month inventory reports of stock from all locations outside of central stores.
•   Work with Stores Assistant to reconcile the monthly stock report (maintained by stores) into SUN ledger balance for inventory
•   Conduct routine and on-the-spot stock counts at Central Stores, various MSIG Centres and Outreach sites
•   Work with external auditors to conduct end of year and stock count to submit report to Finance Manager
•   Manage and coordinate contraceptives procurement trend, forecast and quantification funding
•   Advocate for donation and represent MSIG at stakeholder meetings for donated stocks
•   Participate in the Quarterly forecast review process and support Finance Department to ‘develop accurate forecast of inventory consumption
•   Responsible for ensuring that updating costing for inventory items are accurate
•   Any other related duties that may come up

Qualification Required & Experience

•   Degree in Finance/Accounting, Stores Management/Supply chain management or any field related to inventory management
•   Professional Qualification: ACCA Part I, HND in Accountancy will be an advantage

Skills and Experience

•   At least Three (3) years post qualification practical experience in Stores Management
•   Good spoken and written English language
•   Experience in managing large /multiple stores
•   Customer-focused with good interpersonal.
•   skills to engage with people especially other team members and suppliers
•   Experience in commodity planning and forecasting
•   Computer literate (Strong Excel required)
•   Ability to communicate effectively and exhibit positive attitudes to all team members
•   Extremely detail oriented with accuracy;
•   Honest, Mature and Reliable
•   Demonstrate ability to work under pressure and extra hours as required
•   Trustworthy and principled; zero tolerance for fraud and corruption

Main Duties:

Work with research teams and parnters in Ghana and the Finance Division at the IITA Headquaters in Ibadan to:

•   Perform other official duties assigned by the Accounts Officer.

Qualification Required & Experience

•   A bachelor’s degree (B.A or BSc) or High National Diploma (HND) in Accounting or related field from a recognised institution or university
•   A minimum of 3 years of progressive work experience in similar position in a reputable organisation
•   Experience working in similar position in a CGIAR centre will be an added advantage
