A leading integrated agro-industrial company is looking to recruit a Store Manager. This is a key role that will manage the stores and warehouse functions within the company. The successful candidate must have previous experience working in similar role and be confident communicating with internal departments, suppliers and subsidiaries within the group.

Primary Objective

•   coordinate, manage and control work of storekeepers
•   Ensure compliance to the Store Procedures by communicating the standards and procedures and monitoring their application
•   Responsible for the daily operations of the store
•   Administer stock control and stock level management policies and procedures
•   Participate actively in the continuous improvement process of the store

Key Responsibilities

•   Stores overall management, including control of inventory of spares stock level management (including stock min, stock max and order quantity, pareto analysis ABC method), cleanliness of stores, follow up off KPI’s launch, propose and manage improvements with the support of group store coordinator
•   Train, supervise, control and appraise staff
•   Procurement, manage orders in compliance with the company procedure
•   check documents for thoroughness and completeness and prepare additional documentation when necessary
•   Supervise and ensure accuracy and integrity of data in the system
•   Take periodic stock taking and participate in the stock taking program
•   Analyse issues and propose improvements in order to perform better according to the objectives
•   Produce weekly and monthly reports
•   Participate actively in the continuous improvement program of the store
•   Ensuring compliance with health and safety legislation

Knowledge, Skills and Abilities

•   Strong work ethics, excellent communication, organisational and time management skills, having an aptitude for numbers, be a strong problem solver and able to work in a high pressure environment
•   Good understanding of distribution and logistics activities within a large warehouse environment would be advantageous
•   Good team leader, highly motivated and results oriented
•   Good IT skills and knowledge of imports procedures

Qualification Required & Experience

•   University degree (Degree in “Supply chain management” or equivalent)
•   Minimum of 3 years relevant experience
•   Previous exposure to West Africa

•   Prepare service delivery contracts, leases and purchase orders for all acquisition needs
•   Maintain procurement files and vendor-tracking system
•   Work with the Director of Finance and Administration (FAM) and Accountant to ensure execution of payment terms outlined in purchase orders, grants and contracts
•   Oversee the management of project materials/equipment and report regularly to FAM in regard to use and/or consumption

Qualification Required & Experience

•   Bachelor’s or equivalent in public or business administration or law with at least five years of experience working in a related field
•   Knowledge of acquisition procedures, including but not limited to negotiating terms and conditions of contracts, processing requests for quotes and managing purchases from execution of orders through delivery, grants management, ensuring compliance with USAID and Ugandan regulations
•   Highly organized with the ability to maintain clear procurement files and vendor-tracking systems
•   Excellent oral and written communication skills in English
•   Computer literacy is required in the MS Office Suite

Preferred Qualification

•   Experience working with USAID- or other USG-funded projects is strongly desired

The Contracts & Procurements Officer will provide contract and procurement management support to Canada Program Support Unit. S/he will manage (purchase orders, consultant agreements, and other contracting duties) in accordance with PSU’s guidelines and contracting policy. The Contracts & Procurements Officer will work closely with the Project Manager and Senior Finance Officer based in the Accra Office.

Responsibilities:

Within the framework of the Canada Program Support Unit’s Guidelines on local contracting, the officer will:

•   Establish a shortlist of potential candidates for all competitive PSU Advisors, service contracts and requests for proposals;
•   Coordinate with newspapers (Graphic,Times, etc) and PSU applicable staff in preparation and submission of advertisements for job openings;
•   Act as contact person for RKP and CV submissions on behalf of PSU;
•   Sort submitted CVs and RFP’s into qualified and unqualified candidates on behalf of project team leaders;
•   Prepare contracts, contribution agreements (CA) and standing offer arrangements (SOA) and any amendments in accordance with project team leaders instructions and TOR to ensure proper/consistent contractual terms;
•   Coordinate signatures, distribution and filing;
•   Manage contrator selection process. Negotiate contract renewals and amendments.
•   Coordinate and write contract amendments or extensions. Evaluate contractor performance and quality of services and researches contract violations and assists with their resolution.
•   Monitor contracts for proper payment and impending expirations.
•   Coordinate and write contract amendments or extensions
•   Explain and advise staff on contracting guidelines, rules & regulations, operating policies, procedures and ethics. Explain contract terms and processes to contractors.
•   Manage contract files including inputting of new contract information in database, updating contracts as required, reminding project team leaders of contract expiry dates, renewing contracts/contributions/standing offer arrangements as required and/or instructed.
•   Manage and coordinate all local procurement and contracting, including procurement initiation and contract negotiations with local vendors and consultants, tracking of work progress and deliverables, payments and balances; and timely processing of payments and report approvals. Ensure procuremnt files are complete and accurate and in full compliance with the policies and procedures as provided by Canada Progum Support Unit.

Qualification Required & Experience

•   Minimum of a First degree in Administration, business management, procurement with specialization in contracting.
•   At least 5-7 years experience managing contracting and procurement activities in an international development environment.
•   Computer skills, including Microsoft Word and Excel
•   Excellent organisational and negotiation skills
•   Strong command of the English language (both written and oral).
•   Ability to work with minimum supervision
•   Proven ability to pre-plan critical actions, carry out actions in an efficient and timely manner
•   Track record of following instructions, being a team player, ability to deal with multiple tasks, flexibility and getting critical tasks completed on time.
