Job Description

•   The Federal Ministry for Economic Cooperation and Development (BMZ) launched a special Initiative ‘ONE WORLD-NO HUNGER” focusing on poverty reduction and food security.
•   The global programme “Innovation Centres in the Agriculture and Food Sector” aims to use innovations in the agricultural and food sector to boost the incomes of smallholders, create more employment opportunities (particularly in food processing), and to increase regional food supplies in the project’s rural target areas.
•   The objective of the Green Innovation Centre project in Ghana is to improve the livelihood of family farms and other actors in selected value chains.
•   The project has taken office in the GIZ Green Building in Airport Residential Area together with four other programs and projects.
•   The building is managed jointly and the reception will be manned by a friendly but firm, alert and very well coordinated receptionist.

Responsibilities:

The receptionist is responsible for

•   Supervising and coordinating ingoing and outgoing staff situated in the building and visitors in a service-oriented manner and maintaining a high standard in the reception area
•   Dealing with official phone calls
•   Ensuring incoming and outgoing calls are efficient and uninterrupted performing reception and secretariat services on a daily basis
•   Liaising with facility manager and security guards

Tasks:

Phone and reception services, The receptionist

•   answers and accepts phone calls and messages and/or forwards or rejects them
•   maintains a callback list of all incoming calls which cannot be takenby the relevant staff – member
•   operates the answering machine appropriately
•   registers, documents and organises incoming and outgoing correspondence (fax, emails, packages and personally delivered messages)
•   announces incoming visitors to the relevant staff of the projects and assures their coordinated access to the offices
•   registers incoming and outgoing visitors
•   ensures deputisation for other staff members
•   ensures that visitors are comfortable by offering newspapers, refreshments etc.

Office work and services, The receptionist

•   ensures creation and/or regular updating of a list of contacts and addresses (telephone, fax, email) sorts and distributes incoming correspondence (email, fax. other official documents)
•   is responsible for distributing and accepting documents and packages to/from the post office. government institutions, embassies etc., and is responsible for these
•   ensures periodicals and GIZ brochures are put out

Other duties/additional tasks
The receptionist

•   performs other duties and tasks at the request of management

Qualification Required & Experience

•   1st Degree in Management Studies with minimum 1 year working experience OR HND Management and Secretaryship or similar qualification from a recognised institution with 2 years working experience

•   holding/forwarding/connecting, fax, email, the internet) and computer applications (MS Office)
•   very good written and oral knowledge of English

The U.S. Mission in Accra, Ghana is seeking eligible and qualified applicants for the position of Telephone Operator/Receptionist in the Information Programs Center (IPC) of the Embassy.

BASIC FUNCTION OF POSITION

•   The Telephone Operator/Receptionist performs all duties associated with Switchboard Operations to include working as a receptionist. S/he works under the supervision of the Switchboard Supervisor and provides all services within International Cooperative Administrative Support Services (ICASS) standards.

•   Receives and transfers incoming calls to Mission personnel and places outgoing calls on behalf of Mission personnel. Maintains and issues Embassy acquired cell phones; tracks and maintains an up- to- date inventory of Embassy cell phones and blackberries using the Cell Phone Issuance Software (CPIS) and issues personal identification number (PIN) codes to Mission personnel.

•   Sets up and issues cell phones in support of Very Important Person (VIP) visits and generates dialing instructions for lamination in support of VIP visits. Coordinates Blackberry faults to vendor (MTN) on behalf of the Embassy and USAID users.

•   In the absence of the Switchboard Supervisor, incumbent attends weekly Housing Board meetings and coordinates existing housing faults to Embassy Telephone Technicians for their action; coordinates residential phone and broadband technical faults to authorized vendor (Vodafone, MTN etc.), on behalf of Embassy users resolution; and maintains ticket numbers of reported telephone faults; follows up on status of phone faults from vendor and coordinates their status to Embassy Telephone technicians and users.

•   Keeps Embassy phone listing up- to -date and prepares current listing of frequently used telephone numbers. Updates the Regional Security Office (RSO) emergency contacts list via

•   Maintains and keeps record of Time and Attendance and manages IRM annual leave calendar in the absence of supervisor. Trains any newly hired telephone operators and performs other IRM administrative duties as assigned by the Information Programs Officer (IPO) and Information Management Officer (IMO).

Qualification Required & Experience

Applicants must address each required qualification listed below with specific and comprehensive information supporting each item. Failure to do so may result in a determination that the applicant is not qualified.

•   EDUCATION: Completion of Secondary School or High School Diploma, or Middle School Leaving Certificate (M. S. L. C) with National Vocational Training institute certificate, or a Technical school diploma is required.
•   EXPERIENCE: Two years experience as Telephone Operator. One year experience working with a large organization or a governmental agency is required.
•   LANGUAGE: English Level 4 (Fluency; speaking/reading/writing) is required. (Language proficiency will be tested.) On occasion job holder may need to act as an interpreter. Ability to speak at least one of multiple Ghanaian languages (Twi, Ga, Ewe, Fante and Hausa).
•   SKILLS AND ABILITIES: Must have excellent communication skills and be able to multitask and work under pressure. Must be conversant in the use of Microsoft Office applications such as Word, Excel, PowerPoint and Outlook. Must be able to type at least 25wpm (Computer skills will be tested.)
•   JOB KNOWLEDGE: Must have a sound good working knowledge of switchboard procedures and telephone switchboard operations. Position requires familiarity and knowledge of the agencies, offices and their subsections, and their roles within the Embassy community.

SELECTION PROCESS:

When qualified, applicants who are U.S. Citizen Eligible Family Members (USEFMs) and/or preference-eligible U.S. Veterans are given a preference in hiring. Therefore, it is essential that these applicants make themselves known as having a hiring preference and specifically address the required qualifications above in their application.
