•   Job Title: Logistics / Stores Officer
•   Department:  Maintenance and Engineering
•   Reports to: Head of Maintenance & Engineering
•   Location: Head Office, Accra

Job Purpose:

•   Perform all basic warehouse functions, including shipping, receiving, storage, and issue of materials used to support aircraft maintenance operations.
•   Key Accountabilities/Responsibilities
•   Ensure efficient performance of warehousing operations including storage, security and accountability of aircraft materials.
•   Control the movement of repairable materials out to/return from repair vendors and company shops.
•   Preserve timely and accurate receipt of inbound purchases and repairs.
•   Coordinate the resolution and reporting of all shipping activities.
•   Comply with procedures related to safety and departmental Standards.
•   Acquire aircraft on ground (AOG) parts during off-business hours.
•   Ensure accurate computerized inventory and handling of vendor discrepancies.

Required Skills or Experience

Competencies (Knowledge/Skills/Abilities)

•   Must have experience and knowledge in functional areas.
•   Must have knowledge in software programs related to departmental systems and electronic media.
•   Must be certified in the handling of hazardous materials.
•   Must be Qualified for Airport Operating Area (AOA) badge.
•   Must possess good oral and written communications skills and problem solving skills.
•   Must be able to read, write and understand the English language.
•   Must be willingness to work occasionally during odd hours/days.
•   Must be able to lift up to 50 pounds items and also climb stairs and ladders.
•   Must be capable of using small tools (hammer, crowbar, and screwdriver).
•   Must be capable of using ground equipment (Forklift, Pickup Truck) and tow trailer behind pickup truck.
•   Must possess excellent computer skills.
•   Must possess a valid passport and a driver’s licence

Qualification Required & Experience

•   University graduate with a degree in a relevant field
•   At least one (1) year prior experience in inventory control, purchasing or  warehouse logistics and computer  experience

Job Summary

•   Manage a store which deals in vehicles spare parts and accessories
•   Liaise with the Appointed Clearing Agents of the Company in clearing of goods from the Sea Port and Airport.
•   Monitor Purchase orders to ensure complete delivery and follow up on partial deliveries
•   Check, Code, Receive and Store items in an organised manner.
•   Maintain and update Bin Cards for each Line daily
•   Keep a record of back orders
•   Transfer Stock to the Company Service Facility and sell Spare Parts to Institutions and the General Public in accordance with the Policy of the Company
•   Supervise Bulk Deliveries to Clients
•   Prepare weekly, Quaterly, Monthly and Annual Reports
•   Set up a data base to monitor stock Movement in order to set realistic stock levels
•   Generate Stock Notes for Re-order and Stock replenishment
•   Maintain, review and update the items Master List
•   Maintain and operate item location Code Register
•   Ensure good housekeeping
•   Undertake monthly stocktaking
•   Supervise the Allocated Store within the Workshop and Assembly Plant

Qualification Required & Experience

•   HND Purchasing and Supply with Five (5) years working experience in a recognized vehicle firm.
•   Ability to read and interprets parts catalogue and part numbers.
•   Knowledge in the use of computer and be able to work without supervision under pressure.
•   Good report writing skills

Description Of Job

Marie Stopes International Ghana (MSIG) has vacancy for well-organised, client-oriented and multi-tasked individuals with relevant qualifications and experience to occupy the positions listed below in the organisation.

The job holder is responsible and accountable for ensuring that the day-to-day operations of the store’s function is carried out in a safe, efficient and cost effective manner. The stores activities include receiving, storage and disbursement of commodities. The Stores Officer is also responsible for ensuring the maintenance and protection of MSIG’s inventory and assets. She/He is responsible for supervising and participating in the planning process for setting stock levels and replenishment.

Length of contract: Two (2) years (with possibility of extension)

Key Responsibilities are to:

•  Manage all commodities, materials, contraceptives medical instrument and supplies in stores (i.e. drugs and non-drugs)
•  Check and receive all items and commodities for proper storage
•  Undertake scheduled routine and regular commodities supply to centres
•  Process documents and transactions for all stores receipts, issues, returns, adjustments etc. upon authorisation and approval from relevant and appropriate quarters
•  Ensure that commodities have the right temperature to ensure their efficacy
•  Assist and liaise with regulatory bodies for the disposal of expired, obsolete and unserviceable scrap items
•  Conduct routine and on the spot stock counts at various MSIG centres and Outreaches
•  Value and cost materials and medical instruments issued to all projects
•  Work with the Finance Officer to reconcile monthly stock balance with SUN system (accounting software)
•  Ensure that all centres, sites and offices have an updated fixed asset register including the proper identification and labelling of all fixed assets

Qualification Required & Experience

•  Degree in Stores Management or Accounting or any related field
•  ACCA Part I or HND in Accountancy will be an advantage

The candidate must have:

•  At least 3 years post qualification practical experience in a similar position
•  Good spoken and written English language skills
•  Computer Literate (Microsoft Word and Excel are required)
•  Ability to Communicate Effectively
•  Analytical and Results-Oriented; Honest and Accurate; Mature and Reliable
•  Ability to manage and work independently and efficiently
•  Ability to work under pressure
•  Experience in Project Management and Monitoring
•  Pro-Choice

This is a local position. Interested Non-Ghanaians must therefore have the necessary legal permits required to work in Ghana.
