ORGANISATIONAL CONTEXT
Global hunger has reached alarming levels in recent years, and WFP, the Nobel Peace Prize winner in 2020, remains dedicated and committed to addressing this global food crisis. The United Nations Humanitarian Response Depot (UNHRD) is a network of strategically located hubs established to support humanitarian organizations and the broader international community in responding to emergencies and crises. UNHRD provides essential services such as storage, easy access to critical supplies, and technical assistance. As a team member of the UNHRD hub based in Accra, you will ensure that all service requests, including logistics operations, are well coordinated and executed.
MAJOR DUTIES AND RESPONSIBILITIES
Under the direct supervision of the UNHRD Accra Head of Operations, the Logistics Associate will be responsible for the following duties.
• Support the planning and execution of logistics operations including procurement, transportation, warehousing, and export of humanitarian relief items.
• Prepare “Request for Quotation” (RfQ) for transport and other logistics services as may be directed by supervisor. Launch tenders via WFP In-Tend system Analyze/Evaluate offers received from shortlisted transporters and prepare minutes for approval.
• Prepare award letters to successful contractors Monitor and track shipments and deliveries to ensure timely arrival of stocks to UNHRD Partners’ warehouses.
• Prepare quarterly reports to required units within WFP Compile and analyze logistics data to support decision making Support the gathering of market intelligence, vendor assessments (eg. transporters and freight forwarders) to support vendor selection.
• Support annual physical count of stocks in UNHRD warehouse and preparation of stock reports.
• Ensure timely provision of reports to UNHRD Partners.
• Ensure full compliance of logistics activities with WFP policies and standard processes.
• Assist the Head of Operations on logistics operations that may be referred to you.
Qualification Required & Experience
• Completion of secondary school education. Additional training in logistics, supply chain management, or related field is desirable.
DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE:
• At least 6 years of experience in logistics, supply chain management, warehouse management. Experience in an international organization is an asset.
• Proficiency in logistics software, SAP, Microsoft Excel, Word and Power-point Strong organizational skills, and excellent customer service skills.
• Fluency in English and local language is required.
• Knowledge of another UN language is an advantage.
• Accurate, attentive to detail and thorough in managing logistics and customer service information to deliver as one of common goals.
• Stays focused and calm when under pressure and continue to deliver quality work Focused on meeting the needs of clients and providing high-quality services.
• Uses initiative and sound judgment to address and resolve issues.
• Collaborates effectively and respectfully with colleagues of the same and different units from diverse background/nationality/ages and belief to achieve organizational goals.
LANGUAGE: Fluency and good command of the English language is essential.
