Summary

We are seeking a disciplined and detail-oriented Documentation Specialist to support daily import and export documentation, customs coordination, and trade compliance. This role is critical to ensuring accurate, timely, and compliant processing of all import and export documents related to raw materials, machinery, spare parts, and finished goods.

Key Responsibilities

• Prepare, review, and manage all import and export documentation, including invoices, packing lists, BL, COO, permits, and customs forms.
• Coordinate with freight forwarders, shipping lines, customs agents, and internal departments to ensure smooth clearance processes.
• Track shipment status and follow up on delays, discrepancies, or missing documents.
• Ensure compliance with Ghana Customs, port authorities, and company import/export procedures.
• Maintain organized physical and digital filing systems for all trade documents.
• Support customs declarations, duty assessments, and clearance documentation.
• Assist with import/export data tracking, shipment logs, and reporting.
• Handle confidential trade and commercial documents with professionalism.
• Support audits, inspections, and internal compliance checks related to trade documentation.
• Liaise with procurement, warehouse, finance, and production teams on shipment requirements.
• Perform other duties assigned by the Import & Export Manager.

Qualification Required & Experience

• Bachelor’s Degree in Business Administration, Logistics, Supply Chain, International Trade, or a related field.
• 2–5 years’ experience in import & export documentation, logistics, or trade administration.
• Experience working with customs, freight forwarders, or clearing agents is a strong advantage.
• Basic understanding of Incoterms, shipping documents, and customs processes.
• Proficiency in Microsoft Word and Excel.
• Strong attention to detail and ability to work under time pressure.
• Good communication skills in English; local language proficiency is an advantage.
