			Job Vacancy For Secretary / Administrative Assistant At Public Institution
		
							
				
Applications are invited from suitable qualified Ghanaians for the following vacant position within a Public Institution.
Job Purpose
Responsible for providing secretarial and administrative support services, maintain reports and files of both confidendial and administrative nature in the assigned department, maintain personnel files
Duties
•  Prepare confidendial correspondence regarding personnel and administrative matters
•  Prepare, open, sort and distribute incoming correspondence
•  Receive calls and answer routine enquiries related to the programmes of the department
•  Maintain office records, manuals and correspondence files
•  Assemble report, transcribe dictations keep and maintain meeting minutes and other documents
•  Process and distribute mail
•  Type letters, reports, statements, memorandums from copy, rough draft and other sources
•  Establish and maintain filing systems, control records, retrieve corporate documents, records and reports
•  Handle complainst and refer concerns to appropriate persons
•  Collect, organise, prepare data for a variety of forms, write reports
•  Perform any other duties that may be assigned from time to time by the superior
•  Responsible / courteous behavious towards staff and the public
Qualification Required & Experience
•  Candidates must posses HND Secretaryship or Management Studies or Government Secretarial School Certificate in Private Secretaryship with at least 5 years relevant working experience

•  Very good interpersonal relationship
•  Ability to work under pressure
•  Ability compose routine letters
•  Ability exercise good judgement
•  Ability to work under pressure and with minimum supervision
•  Computer literacy skills
•  Considerable knowledge of office protocol
•  Excellent writing and verbal communication skills
•  Good record keeping skills
