Job Vacancy For Administrative Assistant At Chemonics International



Chemonics International Inc. seeks Administrative Assistant for the recently awarded five-year, USAID-funded Ghana Feed the Future Agriculture Policy Support (Ghana FtF-APS) Project.

The Ghana FtF-APS project aims to increase capacity of the government of Ghana, the private sector, and civil society organizations (CSOs) in evidence-based policy formation, implementation, research, and advocacy and in rigorous monitoring and evaluation of agricultural programs under the Medium Term Agriculture Sector Investment Plan.

The Administrative Assistant will provide executive-level administrative support to the Ghana FtF APS management team and assist the project’s Office Manager to ensure the smooth conduct of project operations.

Specific Tasks and Responsibilities

•   Maintain administrative systems, including communication logs, filing systems, and budget trackers
•   Follow up with project stakeholders, prepare project correspondence, file hard-copy correspondence, and facilitate communication between the project office and Chemonics home office
•   Manage schedules and appointments for project’s leadership team, in particular the chief of  party
•   Format reports and presentations using appropriate computer software and assist in the  production of reports and presentations
•   Help coordinate procurement process, order supplies for the office, and track inventory
•   Aid in project financial matters, coordinating invoices from subcontractors and assisting with financial reporting for project grantees
•   Assist technical staff in arranging travel, hotel accommodations, and customs expeditors for project-related travel
•   Coordinate logistics for project events, including conferences, workshops, and training events
•   Record meeting minutes at project staff meetings, mail documents as need to the home office,  and perform other office tasks as necessary
•   Other duties within the scope of the role and responsibilities of the position as directed by the
supervisor

Qualification Required & Experience

•   Professional certificate or Bachelor’s degree in Business Administration, Project  Management, Communications, Hospitality Management, or a related field 2+ years of professional work experience with a Ghanaian or international organization,  preferably working on a USAID or other donor-funded project or program

In addition, candidates for all positions should demonstrate the following common qualifications:

•   Demonstrated leadership, versatility and integrity
•   Fluent written and spoken in English
