Solidaridad West Africa (SWA) is a not-for-profit organization that supports the sustainable development of farmers and production systems in West Africa. We play a catalytic role by partnering with private sector companies and other stakeholders to foster the development of socially responsible, ecologically sound, and profitable supply chains. Our activities in West Africa are focused on cocoa, gold, oil palm, cotton and other commodities.

As the Regional Expertise Center (REC) within Solidaridad’s international network, we are part of a growing global movement advocating and supporting sustainable and responsible production and trade. SWA focuses on stimulating sustainable supply chains through innovations in good practices, robust infrastructure, sustainable landscapes management and enabling policy environment.

The Solidaridad regional office is based in Accra, Ghana and currently has programmes and operations in Sierra Leone, Cameroon, Cote D’Ivoire, Ghana, Liberia and Nigeria.

Job Description

Report to: Administrative Manager

Profile Summary:

• The Administrative Officer in this capacity shall provide administrative support and secretarial services to the organisation.
• S/he will ensure that the office is running with minimal challenges on operations.

Main responsibilities:

• Ensures proper management of electricity, water, telephone and internet systems
• Monitor and maintain office equipment, inventory supplies; orders replacement supplies as needed
• Support in the preparation of reports on expenses, office budgets for consumables, stationary, and other expenditures
• Coordinate routine maintenance and repairs on systems.
• Facilitate the collation of invoices as part of the procurement procedures
• Assists in event planning and management
• Assist to organize and maintain documentation and filing systems according to Solidaridad’s standards
• Provides support to guests and visitors by preparing the necessary documentation (invitation and guarantee letters when necessary), arranging pick-up at airport.
• Takes charge of accommodation and logistic arrangements of arriving visitors, short and long term experts.
• Maintain database of hotels and other service providers.
• Produces copies of documents, scans documents and provides other secretarial services as required.
• Monitors the movement of office vehicles and updates mileage registration.
• Accept any other assignments under the supervision of the Line Manager

Qualification Required & Experience

Formal Education and Experience (Competencies):

• A first degree in Business Administration, management, secretary ship and other related fields.
• A minimum of three (3) years of relevant working experience in a reputable organization (international organizations, consultancies, bilateral agencies etc.)
• Work under pressure with less supervision.
• Excellent command of MS-Office, Google suite.
• Ability to speak French is an advantage.
