Job Vacancy For Executive Assistant At Global Communities-Ghana (Tamale)



Global Communities (formerly CHF International) a Non-Governmental Organization is seeking an experienced professional to fill the position of Administrative Assistant for the 5-year USAID funded RING project. This project will focus on local government capacity building, livelihood and nutrition promotion in the northern region of Ghana.

Job Title: Executive Assistant
Reports To: Chief of Party

ESSENTIAL DUTIES AND RESPONSIBILITIES

The Executive Assistant will perform administrative and general clerical duties with some of the main duties being:

•   To prepare and edit correspondence, communications, presentations and other documents
•   To design and maintain databases
•   To file and retrieve documents and reference materials
•   To conduct research, collect and analyze data to prepare reports and documents
•   To manage and maintain executives' schedules, appointments and travel arrangements
•   To arrange and co-ordinate meetings and events
•   To record, transcribe and distribute minutes of meetings
•   To monitor, screen, respond to and distribute incoming communications
•   To answer and manage incoming calls
•   To receive and interact with incoming visitors
•   To liaise with internal staff at all levels
•   To interact with external partners on behalf of Chief of Party
•   To review operating practices and implement improvements where necessary
•   To handle meeting requests, scheduling appointments and ensuring a manageable workload for Chief of Party
•   To perform research prior to meetings, providing background information on the person, the company and the issue.
•   To ensure that the executive is briefed on his daily schedule, is adequately prepared for meetings and arrives on time.
•   To make travel arrangements such as booking airline tickets, car rental and hotel accommodations.
•   To provide general administrative duties such as taking phone inquiries, filing and photocopying documents and arranging conference calls.
•   Any other duties that Chief of Party may assign

Qualification Required & Experience

•   Bachelor’s degree  in administration, social  sciences
•   3 years clerical/administrative work experience in a program or donor funded environment;
•   Written and oral communication skills;
•   Ability to work independently and as a team;
•   Familiarity with Microsoft office suite (Word, Access, Excel, PowerPoint) and general office
machines &telephone system;
•   Experience in grant reporting will be an advantage; high degree of discretion dealing with
confidential information.
•   Proficiency in written and spoken English.
•   Computer literacy in MS Office Suite, and ability to use modern office equipment (scanner,
photocopier, projector, etc.)
