Description Of Job

An exciting position is now available for an Administrative Coordinator who will support departmental functions for an established company within the Oil and Gas Sector. The incumbent would be responsible for performing general clerical and administrative duties that require knowledge of departmental procedures and policies.

Responsibilities include:

•  Executes administrative duties including: typing; proofreading documents, letters, and reports; drafts routine communications; maintaining departmental records; taking & delivering messages; screens and manages most phone and in-person inquiries.
•  Ensures that invoices/letters are received, recorded and sent to accounting and other department in a timely manner.
•  Supports departmental staff in the preparation and compilation of presentation materials.
•  Makes certain that all documents, both hard and soft copies, are properly filed and easily accessible.
•  Maintains up-to-date knowledge of administrative field and introduces new skills, technology and best practices to increase efficiency and accuracy in the work place.
•  Seeks to enhance the general performance of the department.
•  Assists departmental staff in the preparation of correspondence and reports.
•  Responsible for coordinating both domestic and international travel arrangements and maintains a staff movement log for invoicing purposes.
•  Organizes company meetings, conferences and events, and facilitates needed communication in relation to such.
•  Ensures that records of vehicle maintenance and insurance are properly kept and the movement of drivers coordinated.
•  Organizes staff house maintenance.

Location: Takoradi, Ghana
Salary: Compensation is competitive.

Qualification Required & Experience

•  A Bachelor's degree in the Arts or HND in a related field and at least 2 years experience working in a fast paced office environment is required.
•  Working knowledge of the terminology, processes and functions of various departments within Oil and Gas or Manufacturing industry preferred.
•  Must possess excellent written and verbal communications skills and be detail-oriented.
•  Should have good inter-personal skills.
•  Working knowledge of Microsoft Office (Word, Excel and Power Point) is required.
•  Must have excellent organizational skills.
