Job Summary
The role holder ensures bids are technically compliant, commercially sound, internally approved, and submitted on time, and that contracts are accurately drafted, properly approved, executed, tracked through the contract management platform, and renewed or terminated in line with business intent. Coordinates the end-to-end response to all RFPs, RFQs, RFIs and unsolicited proposals issued to MTN Business by enterprise customers, government, and SOEs and manage the full lifecycle of customer and vendor contracts under MTN Business.

Job Role
Bid Coordination and RFP/RFQ/RFI Management:
•Receive, log, and qualify all incoming RFPs, RFQs, RFIs, and unsolicited proposals from enterprise customers, government, and SOE clients; maintain a single source of truth for the bid pipeline.
•Develop and own the bid plan for each opportunity. Coordinate the virtual bid team across Sales, Solutions Engineering, Legal, Finance, Commercial, Procurement, and Technical.
•Consolidate technical, commercial, and legal inputs into a single compliant response document; ensure all questions in the customer's bid document are addressed and cross-referenced.
•Perform quality assurance on all bid responses, including proofreading, version control, formatting consistency, accuracy of pricing references, and alignment with MTN brand standards.
•Validate that all mandatory submission requirements are met: company registration, tax clearance, SSNIT certification, audited financials, NCA licences, references, etc
Contract Lifecycle Management and Renewals:
•Use the contract management platform to track contract status across the lifecycle. Generate and act on automated alerts for contracts approaching expiry to drive renewal or termination decisions with the account team.
•Coordinate renewal negotiations with the relevant account manager, Solutions, and Commercial, ensuring pricing reviews, SLA adjustments, and scope changes are captured.
•Manage controlled termination of contracts, including notice service, exit-clause execution, decommissioning coordination, and final billing reconciliation with Finance.
Knowledge Management and Bid Library:
•Build and maintain the MTN Business bid library: reusable content modules covering company overview, technical capability statements, case studies, certifications, and standard policy responses.
•Capture post-submission learnings and win/loss feedback to continuously improve future responses.
•Maintain a library of approved contract templates, NDAs, MSAs, SOWs, and service schedules; flag templates for review when regulatory or commercial conditions change.
NDA and Pre-Engagement Documentation:
•Manage the full lifecycle of non-disclosure agreements with prospective customers and vendors: request, draft, route for execution, and file.
•Track NDA expiry and renewal where ongoing engagement is anticipated.
Compliance, Risk, and Governance:
•Ensure all bids and contracts comply with the Public Procurement Act for government opportunities, the Data Protection Act 2012 (Act 843) for any data-handling obligations, NCA licence conditions, and MTN Group policy.
•Maintain a contractual risk register flagging onerous SLAs, uncapped liabilities, unusual termination triggers, and other exposure points; escalate to Legal and Commercial for resolution.
•Support internal and external audit requests with timely retrieval of bid and contract documentation.
Reporting and Insights:
•Produce weekly bid pipeline and contract status reports for the line manager and Enterprise Business leadership, covering volume, value, win-rate, average turnaround time, and at-risk contracts.
•Maintain dashboards showing bid response performance by sector, deal size, and contributor SLA compliance.
•Provide quarterly win/loss analytics with recommended interventions to improve win-rate.
Stakeholder and Customer Engagement:
•Act as the single point of contact for the customer's procurement team during the bid process for administrative and process-related queries.
•Build constructive relationships with contributors across the business to improve voluntary collaboration and reduce response time.
Qualification Required & Experience
Education
•Minimum of University Degree in Business Administration, Law, Procurement and Supply Chain, Engineering, IT Social Science, Psychology, Management or a related field of study
•Professional certification in any of the following is an advantage: APMP (Association of Proposal Management Professionals), CIPS, IACCM/World Commerce & Contracting, Project Management (PMP, PRINCE2), or Contract Law
Experience
•Minimum of 3 years' relevant work experience in bid coordination, proposal management, contract administration, procurement, or commercial operations, preferably within telecommunications, ICT, or a B2B services environment.
Professional/Technical Competencies:
•Understanding the enterprise solutions portfolio.
•Bid and proposal management lifecycle.
•Contract law fundamentals, contract structures, and standard commercial clauses.
•Ghana procurement and regulatory requirements
•Data protection and information-security principles.
•B2B commercial environment, pricing structures, and SLA constructs
•Bid coordination and project management: ability to plan, sequence, and deliver complex multi-contributor responses to firm deadlines.
•Contract drafting and review
•Demonstrated track record of managing multiple concurrent RFP/RFQ submissions to firm deadlines.
