A reputable multinational company engaged in the provision of trade solutions and advisory services to both the public and private sectors has vacancy for a dynamic person to join its winning team as a: Front Desk Executives

Primary Responsibilities

•   The primary objective of the Front Desk Executive is to answer a multi-line switchboard quickly and direct calls to the designation without delay
•   Meet and greet customers, respond to callers or provide information and direction are secondary objective. The key to the role is in always providing the primary objective whilst delivering the secondary objectives wherever possible but always in such a way that positively affects the customer’s perception or call/visit experience

Duties / Responsibility

•   Answer a moderately high volume of calls and maintain a rapid response rate according to agreed standards
•   Log information on calls received, where required and maintain detail and accurate records of such calls
•   Maintain and update continuosly, by local knowledge and by local means, a log of the availability of staff likely to receive inbound calls
•   File data and perform other routine clerical tasks as assigned and for other department as needed
•   Order and maintain relevant office supplies for effective personal duties
•   Operate a variety of standard office machines, including a personal computer and a variety of computer software, phone, fax, shredding machine and a photocopy machine
•   Communicate and liaise verbally and in writing between customers / suppliers / visitors / enquirers and relevant staff, and interpret and respond clearly and effectively to spoken request over the phone or in person and to verbal or written instructions
•   Establish and maintain effective working relationships with co-workers, supervisors and the general public
•   Perform reception duties in an efficient, professional and courteous manner
•   Maintain regular consistent and professional attendace, punctuality, personal appearance and adherence to relevant health & safety procedures
•   Receive and log on incoming and outgoing mails and correspondence passing through the reception
•   Pursue personal development of skills and knowledge necessary for the effective performance of the role

Qualification Required & Experience

•   Minimum of Higher National Diploma or First Degree or equivalent
•   Minimum of three (3) years application related experience in a multinational company
•   Minimum of three (3) years applicable/related experience in a similar position within a progressively work environment
•   Proven ability to manage various activities / projects at the same time, whilst delivering quality work within stringent timelines without showing physical stress
•   Ability to examine possibilities for improving front desk management
•   Ability to maintain a high level of confidentiality in operations
•   Must be customer service oriented
•   Analytical problem-solving ability and achievement oriented
