Job Vacancy For Logistics Coordinator

Reports To: Head of Logistics
1. Job Purpose
• The Logistics Coordinator shall be responsible for coordinating, supervising, and executing logistics and documentation activities related to the Company’s import and export operations.
• The role exists to ensure regulatory compliance, efficient cargo movement, timely clearance of goods, and effective coordination with internal and external stakeholders in accordance with company policies, operational requirements, and applicable laws.
2. Duties and Responsibilities
The employee shall perform the following duties, including but not limited to:
2.1. Logistics & Documentation Operations
• Coordinate import and export logistics operations including shipment tracking, customs clearance, cargo release, and delivery.
• Prepare, review, and process import and export documentation including commercial invoices, packing lists, Bills of Lading, Airway Bills, IDF, CCVR, and Bills of Entry.
• Monitor shipment timelines and take reasonable steps to prevent avoidable delays, demurrage, storage, or penalties
2.2. Regulatory Compliance
• Ensure compliance with the requirements of the Ghana Revenue Authority (Customs Division), Ghana Free Zones Authority (GFZA), Food and Drugs Authority (FDA), Environmental Protection Agency (EPA), Energy Commission, Veterinary Services Directorate, and all other relevant Ministries, Departments, and Agencies (MDAs).
• Support the application, renewal, and monitoring of permits, approvals, and licenses required for company operations.
2.3. Supervision and Oversight
• Provide day-to-day operational supervision to officers performing similar logistics and documentation duties.
• Review work completed by subordinate staff and provide guidance or corrective direction where necessary.
• Perform similar operational duties personally when required to ensure continuity of operations.
2.4. Coordination and Stakeholder Engagement
• Liaise with shipping lines, freight forwarders, clearing agents, transporters, terminal operators, and regulatory authorities.
• Coordinate loading, offloading, escorts, and delivery schedules in line with operational requirements.
2.5. Reporting Obligations
• Provide daily operational updates to the Head of Logistics.
• Submit weekly logistics reports summarizing completed shipments, outstanding consignments, and operational challenges.
• Promptly report any material incident, delay, system failure, or regulatory challenge.
3. General Conditions of Employment

• The employee shall comply with all company policies, procedures, codes of conduct, and lawful instructions issued by management.
• The Company reserves the right to reasonably assign additional or related duties consistent with the employee’s role, skills, and operational requirements.
• The employee shall maintain confidentiality regarding all company information during and after employment.
4. Working Relationships
• The Logistics Coordinator shall report directly to the Head of Logistics
• The role requires regular interaction with internal departments and external stakeholders.
5. Qualification Required & Experience
• HND or Bachelor’s Degree in Logistics, Supply Chain Management, Business Administration, or related discipline.
• Minimum of three (3) years relevant experience in logistics coordination or customs clearance operations.
• Working knowledge of Ghana import/export and Free Zones procedures.
6. Performance Management
Performance shall be assessed based on approved Key Performance Indicators (KPIs), operational efficiency, compliance standards, and adherence to reporting obligations.
