Project Description:

• The Resiliency in Northern Ghana (RING) project is a 5-year integrated project funded by the USAID Feed the Future (FtF) Initiative and is designed to contribute to Government of Ghana (GoG) efforts to sustainably reduce poverty and improve the nutritional status of vulnerable populations. The goal of RING is improved livelihoods and nutritional status of households in Ghana.

Reporting Relationship: Program/Admin Officer reports to Sr. HR/Operations Manager

Major Duties and Responsibilities:

• Conduct Watchdog/OFAC checks, prepare the purchase requests, and purchase orders as requested by the project.
• Gather and collate documentation such as invoices, shipping receipts and procurement documents for further review and approval.
• Collect travel authorization, travel advance requests, travel expenditures forms (TEF) and liaise travelling staff with the finance team for any missing document or any needed corrections.
• Research problems, such as missing documentation, vendor, staff or client queries.
• Liaise the Accounting/Finance team with the bank, carry checks and return with proofs of deposits.
• Manage the advances and carry out payments for field activities (Per diems, and other activity arrangements), and provide timely expense reports according to Global Communities rules, including liquidating advances paying out the balances via the Global Communities’ bank accounts.
• Manage the petty cash system and expenses according to Global Communities’ procedures
• Work with the various USAID/RING Working Groups and task groups to enhance the effectiveness, efficiency and relevance of their work
• Provides technical support to the Programs Team.
• Manage the USAID/RING Conference Room scheduling
• Supervise Program Assistants/Front Desk/Janitors
• Respect procedures established for the good of the office and staff.
• Avoid conflict of interest or perception of conflict of interest.
• Contribute to realization of the Mission of Global Communities.
• Respect Global Communities’ values as they pertain to financial management.
• Perpetuate the good reputation of Global Communities.
• Perform any duties assigned by his/her supervisor
• Assist with preparation of the budget for Programs Team
• Manage Vendor invoices
• Maintain the purchase order system
• Process and record petty cash transactions
• Purchase office consumables including stationery
• Organise meetings and events
• Perform protocol services including flights and accommodation reservations, arranging airport pick-ups.

Qualification Required & Experience

The role requires strong critical thinking, analytic, management, and leadership skills, a roll?up?your sleeves mentality, good judgment.

• First Degree in Management, Administration, Finance, Accounting or any related field with 5 years relevant working experience. Master's degree with 3 years experience.
• Experience with USAID-funded Project/Donor funded Project/International NGO preferable
• Ability to meet deadlines and complete tasks with attention to detail and quality.
• Proficiency in the English, a must.
• Demonstrated computer skills in spreadsheet applications, Microsoft Office preferred.
• Ability to work in a team, positive attitude, flexibility, follow-up and feedback abilities
