Overview:

The Accounting and Administrative Officer (AAO) is directly responsible for performing all the administrative and financial activities to support the organization’s programs and operations. The AAO will promote transparency and accountability in the use of the organization’s resources. The AAO is member of the operations team and reports directly to the Literacy Bridge Ghana (LBG) Director of Operations.

The position is full-time and based in Jirapa, Upper West Region, Ghana. All applicants must be willing to live and work in Jirapa.

Main Duties and Responsibilities:

Regular accounting procedures

•   Provide institutional guidance on adherence to accounting standards
•   Responsible for all financial accounting functions of the organization and ensuring that financial/accounting activities are carried out in accordance with the policy manual
•   Research and prepare new revisions to financial procedures and HR manuals as needed.
•   Maintain detailed records for all financial transactions in an organized and professional manner using QuickBooks
•   Manage the organization’s bank accounts and petty cash: prepare bank reconciliations on a monthly basis and process cash payments
•   Work in collaboration with the US finance team to accurately record bank transactions and field expenses into Quickbooks
•   Monitor all cash advances to employees and field expense reports, reconcile all receipts and remaining cash at month’s end
•   Prepare the monthly financial reports
•   Ensure all financial transactions have adequate supporting documentation and invoices and expense claims are approved by the appropriate person
•   Gather requested information for audits
•   Train employees on relevant financial procedures.  Communicate with employees to ensure financial receipts and payments are accurately, timely and appropriately handled
•   Prepare the payroll for the employees and process withholding payments

Budget & Financial reporting:

•   Responsible for reviewing and maintaining the finance and accounting manual
•   Create, manage and execute a plan to transition organizational accounting processes and procedures to the international accounting standards by December 2015
•   Create and manage a financial reporting and organizational certification timeline of all financial deadlines including donor reporting and yearly renewal of certifications and licenses
•   Create and maintain an organizational budget
•   Manage project budgets in coordination with program managers
•   Preparing budgets for donor proposals

Administrative

•   Undertake projects as assigned by the Director of Operations
•   Prepare for and schedule board meetings

Qualification Required & Experience

•   Bachelor’s Degree in Accounting, Master’s preferred
•   Minimum 5-7 years experience
•   Skilled in providing organizational guidance on accounting procedures and processes
•   Proficient using QuickBooks
•   Proficient computer and internet skills (MS Word, Excel).
•   Fluent in English with excellent communication and interpersonal skills
•   Ability to speak Dagaare highly desirable
