Job Summary

The Administrative Assistant will be responsible for providing administrative and clerical services in order to ensure effective and efficient operations.

Provide administrative support to ensure that operations are maintained in an effective, up to date and accurate manner

•   Type correspondence, reports and other documents
•   Maintain office files
•   Open and distribute the mail
•   Take minutes at meetings
•   Distribute minutes
•   Coordinate repairs to office equipment
•   Maintain confidential records and files
•   Maintain records of decisions
•   Research and assist with the preparation of policies and procedures
•   Review and edit reports
•   Prepare correspondence for director
•   Schedule meetings
•   Prepare agendas for meeting
•   Coordinate correspondence with external staff, associates and consultants
•   Record minutes and submit minutes for approval

Job Summary

•   Prepares invoices for cheque writing and signing.
•   Payment of SSNIT, PAYE and Tier 2 monthly submissions.
•   Ensures that  all  cheques deposits and withdrawals are made on time for the swift running ofsecrctariat activities.
•   Ensures all invoices are adequately filed on  time  in  order  to  prevent  invoices misplacement
•   Inputs such invoices into the software (currently, an excel cash and bank spreadsheet) for further month end analyses.
•   Conducts  a  monthly  analysis  of the spreadsheet for  presentation the HS as a basis   lor   her   monthly   forecasts projections.
•   Tracks and reconciles all cheques issued with the month end bank statements.
•   Manages the petty cash system and ensures the availability of cash at all times for daily transactions.
•   Manages the procurement of stationery items and other logistics.
•   Liaises with the auditor for the end of year audit work.
•   Adequately prepares invoices to be dispatched to members who may have not paid up their subscriptions for the period.
•   Assists the E.S to ensure that drafted documents or letters for members and other stakeholders are adequately prepared for dispatch accordingly.
•   Attends  to   incoming  calls  for  Further direction to the right department and takes adequate notes to pass on to the requisite stair.
•   Assists  the  Executive  Secretary   in  the successful organisation of meetings and the running of the secretariat.
•   Any other activity that may be assigned by the Executive Secretary.

Qualification Required & Experience

•   Bachelors degree in Accounting and finance. Administration, HR management or any relevant qualification from a recognised University.
•   Must have successfully served their country through national service.
•   At least a years experience in this field will be an added advantage.
•   HND graduates with some experience are encouraged to apply.
•   Knowledge in Microsoft applications (Word and Excel) and knowledge in an  accounting software application will be an added advantage.
