Job Description

The main objectives of the Green Innovation Centre in Ghana are:

•   Innovations for small farmers
•   Improved services

•   He/She is responsible for the following tasks:
•   Facility Management related to the Green GIZ Building
•   Provide and facilitate all logistical support for the programme
•   Procurement of all goods arid services for the project

Main Duties and Responsibilities:
Facility Management (GIZ GREEN BUILDING)

•   Carries out regular checks on all technical parts of the Green GIZ
•   Building and makes sure that everything is in order;
•   Reports damages and malfunctions in and at the Building and its premises to the management on time;
•   Handles smaller repairs by her/himself and supervises other repairs on behalf of GIZ;     ‘
•   Handling of all technical and organisational matters regarding telecommunication like telephone, fax, internet;
•   He/she works in collaboration with GIZ Country Office IT Services that service is conducted where needed;
•   In case of service failure follow up it is maintained on time – in collaboration with GIZ Country Office IT Services – assure the communication system is working well;
•   Verifies that jointly used ICT equipment (floor printer etc) and office equipment are in working condition To this end, the FPL officer conducts regular checks on the equipment in joint use to identify working condition
•   Liaises with public service providers (Telephone and internet, power, water providers) in connection with the services to the offices and ensures timely payment of these utilities (electricity, water, etc) by GIZ finance;
•   Arranges for an external service provider when instructed to do so;
•   Supervises and coordinates the security and cleaning services on behalf of GIZ  Follows up the activities of the security company and cleaning services Reports failure to the management and proposes remedies
•   Checks and advises the management on the adherence of regulations of the office building and advises the management if needed
•   Updates him/herself on fire fighting and security precautions and advises members of the office Building accordingly

Procurement:

•   Assists programmes in the Green GIZ Building through purchasing in accordance to the specifications;
•   Based on knowledge of GIZ procurement rules, doing purchasing below the relevant threshold by him/herself, above the threshold assists procurement through GIZ Country Office;
•   Monitors and co-ordinates deliveries of items from suppliers, together with GIZ Country Office and / or IT services where meaningful;
•   Ensures that various services, equipment, and office supplies are identified, procured and supplied, together with GIZ Country Office and / or IT services where meaningful;
•   Processes complaints about goods procured, follow-up with supplier, demanding corrections, achieving satisfaction on the side of the colleague asking to order;
•   Close cooperation with the colleagues which require the goods

Logistical management:

•   Assists in the logistical management of meetings in the office Building;
•   Elaborates a parking plan with the programmes in the Green GIZ
•   Building and follows up on its implementation;
•   Manages transport services;
•   Initiates and follows up on vehicle registration, taxation and insurance issues of project vehicles by the GIZ Country Office;
•   Follows up vehicle accidents insurance claims;
•   Confirms the proper handling and utilisation of the vehicles assigned to the project by ensuring trips are registered by the drivers (monitors log books) and regular maintenance service is undertaken in collaboration with the individual programme;
•   Preparation of monthly fuel consumptions summaries and averages;
•   Takes care of special mail and deliveries

Other Duties/Additional tasks:

•   Assist in and/or carryout other activities and tasks assigned by the supervisor

Qualification Required & Experience

•   Degree in purchasing and supply or similar qualification and diploma in mechanics or transport/shipping or similar qualification
•   At least 5 years of professional working experience in transport/ procurement/insurance or similar field
