Job Vacancy For Senior Typesetter At Parliamentary Service of Ghana

Job Summary:

To ensure that the Bound Volume Unit meets the obligations and responsibilities of the Official Report Department of the Parliamentary Service of Ghana.

Main Duties and Responsibilities:

•   Responsible to start and finish the days
•   Access scripts prepared by Parliamentary Reporters through the internal network according to the time periods as captured by the Reporter and allocated to him
•   Collate and do all the page-planning of the Official Report into one’ document.
•   Effect corrections made to the draft Bound Volumes
•   Compile content and index to draft Bound Volumes.
•   Any other type setting work as directed by the Unit Head.

Qualification Required & Experience

•   DBS/HND  in   Management  Studies  and  Secretaryship  from  a recognised Institution,
•   Must be Computer Literate.
•   Must possess a  Computer Information Technology   Certificate   in   the   following:   (Windows,   Word Processing,   Microsoft   Word,   Page   Maker,   Page   Planning, Typesetting & Desk Top Publishing)
•   Minimum of 2 years for HND holders and five (5) years for DBS holders.
•   Ability to work under pressure
•   Ability to work under supervision

Job Description

The Receptionist must be resident in ACCRA.

Specific duties and responsibilities include:

•   Manages incoming and outgoing correspondence, including e-mails, parcels and hand delivered messages on a routine basis
•   Carries out reception services by ensuring guests’ comfort, receiving and directing visitors to the appropriate offices or offering any assistance required.
•   Maintain safe and clean reception area
•   Carries out telephone switch board services by answering, screening, forwarding and/or returning phone calls and messages. Takes note of calls that could not be immediately taken by staff members and inform them of caller identity, time, and subject of call
•   Produces copies of documents, scans documents and provides other secretarial services as required.
•   Logs in/records incoming and outgoing letters on a daily basis
•   Organizes and takes responsibility for the delivery and collection of documents/parcels from and to post office, government bodies, embassies, etc.
•   Organizes magazine display
•   Take minutes during staff meetings
•   Schedule meetings for staff ,management team, drawing up agenda and distributing documents
•   Purchase stationery and assist in all other logistics
•   Assists in and/or carries out other office activities and other tasks, as assigned

Qualification Required & Experience

•   HND in Secretarial ship
•   At least 2 years of professional working experience in a similar position
•   Knowledge in Office administration and customer service( telephone etiquettes, excellent verbal and written communication)
•   Good IT skills, including Microsoft Office (particularly excel and Outlook)
•   Team player, highly-motivated, self-starter, able to work independently, multi-task and meet deadlines.
